Personal Leave
Personal leave is intended to cover absences due to mandatory court appearances, legal or business matters, family emergencies, unusual family obligations, weddings, religious holidays, or any other personal matter. Eligible employees may convert accrued sick leave to personal leave.
Important Change Effective September 1, 2026: Beginning September 1, the sick leave conversion option available under this policy is conversion to personal leave.
Who is Eligible?
Classified and unclassified employees with a continuing appointment who are not represented by a collective bargaining unit are eligible to convert accrued sick leave to personal leave, provided they retain a minimum sick leave balance of:
- 120 hours for full-time employees
- 60 hours for part-time employees
Employees represented by a collective bargaining unit should refer to their applicable collective bargaining agreement for information regarding sick leave conversion.
How does sick leave conversion to personal leave work?
Personal leave is converted from sick leave at the time it is used.
An eligible employee must request approval to use personal leave in advance through their normal leave request process.
Procedure
- Request approval in advance. Submit your request to your supervisor through your normal leave request process.
- Obtain approval. Your supervisor must approve the requested personal leave before it is used.
- Enter the approved hours. Once time is preapproved, enter the hours in the appropriate timekeeping system.
- Track personal leave usage by fiscal year. Personal leave conversion is tracked on a fiscal-year basis, from July 1 through June 30. Employees and supervisors are responsible for keeping track of the personal leave hours used during each fiscal year to ensure the annual conversion limit is not exceeded. FlashLine leave balances are displayed based on a calendar year and therefore do not reflect the fiscal-year personal leave conversion limit.
- The approved personal leave hours will be converted from accrued sick leave at the time the personal leave is used.
Limitations
The employee must have at least 120 hours of accrued sick leave after conversion to personal leave. The minimum balance for part-time employees is 60 hours.
The maximum amount of sick leave that may be converted to personal leave in a fiscal year is:
- 40 hours for full-time employees
- 24 hours for part-time employees
Employees and approving supervisors are responsible for ensuring that the employee meets the minimum sick leave balance requirement and does not exceed the applicable annual conversion limit.
